Kanimbia Coolabine Cottages – Terms and Conditions 1. Rates & Occupancy • Rates are valid from 2025 to 2026 and are subject to change. • Prices are based on double occupancy per tent. 2. Guest Age Requirement • Kanimbia Luxury Glamping is an adults-only accommodations (aged 18 and over) • Please read and agree to the disclaimer and call management if you wish to book with child(children). 3. Payment & Cancellation Policy • Full payment is required at the time of booking. • All rates are quoted in Australian Dollars (AUD) and include GST. • Cancellations due to weather or health/carer or pet care or any other conditions are non-refundable; guests are advised to have their own travel and health insurances. • Cancellation Fees: A $95.50 administration fee will be deducted for any cancellation, regardless of the reason For bookings of more than one night, a cancellation will incur a charge equal to one night’s reservation fee, plus an administration fee of A$95.50.No refunds will be issued for cancellations made within 21 days of arrival. 4. Flexible Rescheduling & Cancellation Option For added flexibility, we offer a Rescheduling & Cancellation Guarantee for an additional fee of $100. By opting for this service, you may cancel, modify, or reschedule your reservation up to 7 days prior to arrival, with no questions asked. To avail of this option, please contact us within 24 hours of booking to add the guarantee to your reservation and complete the payment. If this option is not selected within the specified timeframe, our standard cancellation and rescheduling policy will apply. 5. Changes to Reservations • A $95.50 administration fee applies to any reservation changes, regardless of the reason. • Changes are subject to availability and can only be processed by contacting management. Management reserves the right to offer dates for change of dates. • Changes are not allowed within 21 days of arrival. 6. Early Check-In & Late Check-Out At Kanimbia, we understand the importance of flexibility when it comes to your arrival and departure. To help you make the most of your stay, we offer the option of early check-in and late check-out, subject to the following terms: Availability & Approval • Early check-in and late check-out are subject to availability and must be approved in advance by Kanimbia management. • Requests must be submitted at least 72 hours prior to the standard check-in or check-out time. Rates • A fee of $60 per hour applies for both early check-in and late check-out. • Time is rounded up to the nearest hour. • This fee is non-refundable once confirmed. Payment • Payment must be confirmed in full before early check-in or late check-out can be granted. • Confirmation of payment and approval by management will be provided via email or SMS. Standard Times • Standard check-in: 02:00 pm • Standard check-out: 10:00 am Important Notes • Access to your accommodation prior to 2:00 pm or departure after 10:00 am without prior approval will result in automatic fees of $90 per hour rounded to the nearest hour. • We reserve the right to decline requests if they conflict with other bookings or operational requirements. 7. Gift Vouchers • Valid for two years from the purchase date. • Extensions are not permitted. Advance booking is recommended to secure preferred dates 8. Minimum Stay Requirements Kanimbia management reserves the right for minimum night(s)’ bookings. 9. Cars – parking and e-cars charging Parking • All vehicles must be parked in designated parking areas. • Parking or driving on grass is strictly prohibited. • A penalty of $50 will be imposed for any vehicle parked or driven on grass. Electric Vehicle (EV) Charging • Charging of electric vehicles at your accommodation is strictly prohibited. Additional charges may apply for non-compliance. • A fast-charging station is available at an additional cost of $40 for a full charge. • As there is only one fast charger on-site, advance booking is required to secure access. Non-compliance with these terms may result in penalties. Management reserves the right to enforce these regulations to ensure the proper maintenance of the property. Kanimbia is not responsible for any damage to guests' vehicles while on-site. 10. Disturbance & Noise Policy • Any after-hours disturbance requiring staff intervention will incur a $150 fee. 11. Fire Safety • Any fires must be always supervised and kept under control. • Please read and agree to the fire policy and disclaimer. 12. Group Bookings • Group bookings for more than six guests require a refundable $500 security bond. 13. Site Access & Weather Conditions • Stays are subject to site access availability. • In cases of flooding/severe weather event, management reserves the right to cancel bookings with full or partial refund. • Kanimbia is not responsible for additional costs incurred due to weather-related cancellations. 14. Assumption of Risk – Natural Hazards and Kanimbia Luxury Glamping Liability waiver By booking accommodation at Kanimbia Coolabine (Cottages), guests acknowledge and accept the inherent risks associated with staying in a remote natural environment. These risks include, but are not limited to: • Slips, trips, and falls on uneven terrain throughout the site and accommodations. • Encounters with wildlife, including but not limited to snakes, spiders, and other natural inhabitants. • Drowning or water-related accidents in natural bodies of water, including dams, creeks, and other water sources. • Extreme weather events, such as high winds, heavy rainfall, and other unpredictable natural occurrences. Guests assume full personal responsibility for their safety and the safety of any minors or dependents in their care while on-site. Kanimbia Coolabine (Cottages) and its management do not accept any liability for injury, loss, or damage to persons or property arising from these inherent risks. By proceeding with a booking, guests confirm that they understand and agree to this waiver and acknowledge that Kanimbia Coolabine (Cottages) is in a natural and rural environment intended for guests to enjoy the beauty of nature. 15. Force Majeure Kanimbia shall not be held liable for failure to fulfill obligations due to circumstances beyond its control, including but not limited to: • Natural disasters • Extreme weather conditions • Government restrictions due to health concerns, natural disasters, terrorism, or any other reason Booking refunds and cancellations are not accepted if disruptions occur at a guest’s location or impact a guest’s travel. However, if our glamping site is closed by Kanimbia management for the above reasons, guests will be eligible for a full refund. We strongly encourage all guests to obtain their own travel and health insurance to cover unforeseen circumstances. 16. Accessibility • While Kanimbia is not formally rated for wheelchair access, a Safari tent may be suitable. Please contact us to discuss specific requirements. 17. Drone Policy and Commercial photography • The use of drones and commercial photography is strictly always prohibited. 18. Lighting & Personal Safety • Low-level lighting is used to enhance the natural ambiance and stargazing experience. • Guests should carry a personal torch and may use the torch provided in some tents. • Kanimbia management will not be responsible for low lighting related incidents. 19. Damages & Additional Charges Guests are responsible for any damage, loss, or additional costs incurred due to a breach of these terms. Charges may be applied to the credit card on file for: • Breakages or property damage. • Excessive cleaning requirements. DISCLAIMERS_____PLEASE READ Fire Risk Disclaimer By booking and using the Kanimbia Coolabine accommodation provided, guests acknowledge and accept the inherent fire risks associated with the presence of outdoor fireplaces. Compliance with Safety Guidelines: Guests are required to follow all fire safety guidelines, including but not limited to: Ensuring that fires are attended at all times while in use, Using only the provided or approved firewood/fuel, Keeping flammable materials at a safe distance, Fully extinguishing all fires before leaving the area or retiring for the night Liability Waiver: The property owner/operator shall not be liable for any injury, loss, damage, or death resulting from the misuse or negligence in handling fireplaces. Guests assume full responsibility for any damages caused by their use of fire amenities. Prohibited Activities: The following are strictly prohibited- Unattended or reckless use of fireplaces, Use of unauthorized fuels or accelerants, any activity that poses a heightened fire risk. Emergency Procedures: Guests must familiarize themselves with fire extinguishers, emergency exits, and fire response protocols. In case of emergency, immediate action must be taken to extinguish the fire and notify property management. By proceeding with the stay, guests confirm their understanding and acceptance of these terms. Failure to comply may result in immediate eviction without refund and potential liability for damages. Accommodation & Activity Liability Disclaimer Our cottages and tiny home are beautifully designed to offer a unique and immersive experience. As such, guests acknowledge and accept the inherent risks associated with rural living. Unpredictable weather conditions, including sudden heavy rain, strong winds, or other environmental changes. By choosing to stay in our accommodations, guests accept that these risks may result in structural damage, falls, tears, injuries, or, in extreme cases, serious harm, including fatality. Additionally, participation in any activities on the premises, animals’ handling/wildlife encounters, swimming in creek, walks in nature and more, carries inherent risks. Guests assume full responsibility for their own safety and that of their property. We shall not be held liable for any injury, damage, loss, or accidents arising from the use of cottages, bicycles, kitchen or any other facilities. By booking and staying at our accommodation or engaging in activities provided on-site, guests expressly agree to waive any claims against the establishment, its owners, employees, or affiliates for liability, damages, or injuries that may occur due to natural events, structural failures, or activity-related incidents. We are committed to providing the best experience possible, but certain risks are unavoidable in this type of accommodation. Guests are advised to exercise caution, adhere to all safety guidelines, and report any concerns to our staff promptly. Children Policy & Disclaimer At Kanimbia Glamping, our serene and nature-immersed environment is designed exclusively for adults. Children under 15 are not permitted to stay on the premises. However, in exceptional cases, we may make accommodations for children only with prior approval from management. By booking a stay at Kanimbia, you acknowledge and accept the following: • Any exception to the children’s policy is at the sole discretion of management and must be confirmed in writing. • Guests who bring children without prior approval may be denied check-in or asked to vacate the property without a refund. • Parents/guardians assume full responsibility for the safety and supervision of any child allowed on-site. Kanimbia Coolabine (Cottages) assumes no liability for any injury, accident, or incident involving children. • Due to the natural setting and the presence of wildlife, open water, and uneven terrain, Kanimbia is not a child-friendly environment. • Additional charges of $50 per child per night applies when child (children) is/are permitted by the management on case-by-case basis. By proceeding with your booking, you agree to these terms and waive any claims against Kanimbia Glamping, its owners, and staff regarding any injury, loss, or damages related to a child’s stay. Pet Policy & Disclaimer Kanimbia Coolabine (Cottages) is a pet-free property to maintain a peaceful environment and protect local wildlife. However, certified guide dogs may be permitted with prior approval. By entering Kanimbia Glamping, you acknowledge and accept the following: • No pets (including dogs, cats, or other animals) are allowed on the premises. • Exceptions for certified guide dogs/exceptional circumstances may be granted but advance written/email approval from management is required. • Guests who arrive with an unapproved pet may be denied entry or required to leave without a refund. • Kanimbia Glamping is not responsible for any injuries, damages, or disturbances caused by pets, even in cases where an exception has been made. • Additional charges of $50 per night apply when a dog/pet is permitted by the management on a case-by-case basis. By booking a stay, you agree to these terms and waive any claims against Kanimbia Glamping related to pet policies or restrictions.
