Black Bear Ridge

*Any outstanding reservation balance will be charged after 12:00 on the agreed date of departure.
*Departures after 11 a.m. may incur additional charges.
*All guarantees are subject to guests vacating their room on time and other circumstances that may be beyond our control. 

A $500.00 Security Deposit is required upon check-in. An authorization of your credit card may be used for the security deposit; your PIN is required if you are using a chip card. If you wish to use cash, we will require the reservation balance to be paid in full at check in as well as the appropriate security deposit. This security deposit is refundable after inspection of the unit at check-out. 

Privacy Policy
As the reservation holder you are the only person that can obtain details of this reservation. If you would like additional individuals to have access, their name must be added to the reservation (please contact the Reservations Department).  No information regarding this reservation will be shared otherwise. 

Deposits & Cancellations
Deposits will be repaid in full if cancellation occurs 30 days or more before the reservation’s date of stay. Anything less than 30 days, Black Bear Ridge retains the full amount of the 25% deposit.

Housekeeping Services:
We do not change linens daily. Bed linens and new towels will be changed on the fourth day. Daily full housekeeping is available by request for an additional fee. 

Parking
Ample parking in front of your home. Outdoor parking lots are free of charge. Black Bear Ridge reserves the right to request you move your vehicle to another location on the premises or refuse vehicles if they are deemed to be unsafe or pose any risk to the facility or patrons. 

Golf Carts
You are free to bring your carts back to the on-site only homes before and after rounds. Carts cannot be kept overnight and will be picked up by BBR Cart Staff before the course closes. Club storage is available overnight at your request.· BBR reserves the right to seize a cart at any time, to be used during busy periods on the course or to ensure they are adequately charged. Golf Carts can not be taken of Black Bear Ridge Property, and can not be driven on public roads.

Rules and Regulations
By booking your reservation, you are acknowledging that as the Registered Guest you agree to all of the rules and regulations below. Non-Adherence to these rules could affect the return of your security deposit and may result in your eviction from the unit you rented and from the property of Black Bear Ridge GP Inc. You furthermore authorize Black Bear Ridge GP Inc.to charge the Credit Card used at the time of check-in for any outstanding charges on your account after your departure. 


Damages
Any damage caused to the rented unit (including but not limited to damage to furniture, fixtures, flooring, walls,doors, appliances, and the unit’s exterior) will be paid by the registrant. Any damages caused to Black Bear Ridge Property (including but not limited to damage to Golf Carts and Rental Sets) will be paid by the registrant.  Black Bear Ridge GP Inc. reserves the right to charge the cost of damage to the Credit Card on file, or invoice, and agrees to provide the guest with a statement of charges.
 
1. As the registrant of the rented unit, you must be at least 18 years of age. 

2. As the holder of the registered Credit Card used for the security deposit, you must remain in house for the 
duration of the contracted stay with Black Bear Ridge. The registered guest accepts responsibility for other 
unit occupants that are in violation of the rules laid out within this document. 

3. Excessive noise or activity that disturbs other guests may lead to using your security deposit for compensating 
other guests and/or eviction from the property without refund of hotel charges. 

4.Smoking inside the room or on the balcony is not permitted at any time. If any traces of smoking are detected, a 
minimum charge of $200.00 plus taxes will be deducted from your security deposit.
5.Pets are not permitted in any rental suites and will be subject to conditions &

6. The occupancy of your rental unit may not exceed the maximum persons allowed and violations of occupancy 
may lead to eviction.

The Carter House: 16
The Jones House: 4
The Wallace House: 20
The Harmony Farmhouse:  12 

 Municipal Accommodations Tax: Amenity Fee: There is a 4%  MAT added to each night.

Other Important Information: Specific room numbers, buildings,  locations, certain views, amenities, bed configurations, early check-ins and late check-outs cannot be guaranteed, unless paid for. All reservations are subject to acceptance by Black Bear Ridge GP Inc. . Every effort is made to ensure accuracy although errors may occur. We reserve the right to change or correct information without notice should the need arise.

Force Majeure Clause
For any reason beyond its control, including, but not limited to, accident, act of war, act of God, fire, flood, earthquake, other severe weather conditions, epidemic or pandemic, (an) act of municipal, provincial, or federal government legislation that prohibits an event from otherwise taking place on agreed upon event date, or other emergency conditions (a “Force Majeure”), and Black Bear Ridge  is unable to perform its obligations under this Agreement, such non-performance is excused and Black Bear Ridge GP Inc. may terminate this Agreement without any further liability of any nature.  In no event shall Black Bear Ridge GP Inc be liable for direct or indirect or consequential damages of any kind, for any reason whatsoever, as it relates to the agreed upon event.  Upon the occurrence of a force majeure event, if the Hotel cannot offer alternative dates for the event within twelve (12) months following the dates effected by the force majeure event, either party may terminate this Agreement without cancellation fees and without further liability upon written notice to the other party. Should such occurrence take place the Hotel will refund all deposits and prepayments made by Group in the month of the scheduled event date.   

COVID-19
The parties acknowledge that the Covid-19 outbreak is an epidemic that may make performance under this Agreement on the dates set forth herein illegal or impossible.  The parties hereby agree that in the event that the government or health authorities in Black Bear Ridge’s  province or local jurisdiction extend travel warnings recommending against non-essential travel generally or restricting use of hotels for the use identified in this Agreement on the specified dates herein, either party may terminate its obligations under this Agreement without liability or further obligation by written notice to the other party and the venue will refund all deposits and prepayments made by Group in the month of the scheduled event date.    

Conditions of acceptance 
All venues are available on a first-come, first-serve basis with a venue only being confirmed for event use by way of a booking made on blackbearridge.ca. By not contesting these terms and conditions by email to accomodations@blackbearidge.ca within 12 hours after  confirmed booking, you acknowledge you ­­­­­­­­have read and agree that all the above information is correct and hereby authorize Black Bear Ridge to charge a 25% deposit to the credit card number provided.
