1.1. Guest: Any individual staying at or visiting Hay’s Wood Retreat.1.2. Lead Booker: The individual responsible for the booking and all associated guests.1.3. Lodge: Any accommodation unit at Hay’s Wood Retreat.1.4. Reception: The main building where guests can check in, check out, and request assistance.1.5. Grounds: All outdoor spaces within Hay’s Wood Retreat.2. Check-in Policy
2.1. Check-in is available from 16:00 onwards.2.2. Guests arriving after 17:00 must notify Hay’s Wood Retreat in advance.2.3. Lodge keys are available at reception during opening hours or via a key safe if reception is closed. Key safe details will be provided before arrival.2.4. Full payment must be received before check-in can be completed.2.5. Guests will receive a lodge key and a blue gate fob for entry through the main electric gate. Lost keys or fobs will incur a replacement charge.2.6. Guests checking in via reception will receive local information including nearby shops, restaurants, attractions, and amenities.2.7. Guests collecting keys from a key safe can find a welcome book in their lodge with essential information.3. Check-out Policy
3.1. Check-out time is 10:00.3.2. Late check-out (up to a maximum of 2 hours) is subject to availability and incurs a charge of £10 per hour.3.3. Keys must be returned to reception or placed in the designated post box at reception.3.4. A full inspection of the lodge will be conducted after check-out. Any damages or breakages may result in additional charges.4. Booking Extensions
4.1. Guests may extend their stay subject to availability.4.2. Extension requests should be made before arrival or at least 24 hours before the scheduled check-out date.5. Cancellation Policy
5.1. Guests may cancel their booking and receive a full refund if the cancellation is made at least 24 hours before the scheduled arrival date.5.2. Cancellations made on the day of arrival or later are non-refundable.5.3. Cancellations must be confirmed in writing.5.4. For event cancellations, refer to the Event Policy.6. Minimum Age Requirement

8.1. Guests book a lodge type, not a specific lodge.8.2. Lodge layouts are similar, but interior designs may vary.8.3. Bookings are processed within 24 hours, and confirmation will be sent via email.9. Damages & Liability
9.1. Guests must treat the lodge and its furnishings with care.9.2. Any damages must be reported immediately.9.3. The lead booker is financially responsible for damages beyond normal wear and tear.9.4. A damage assessment will be conducted after check-out, and an invoice for repairs/replacements will be issued if necessary.10. Smoking Policy
10.1. Smoking (including e-cigarettes and vapes) is prohibited inside lodges and the event centre.10.2. Smoking is permitted on lodge patios with doors closed to prevent smoke from entering.10.3. Cigarettes must be extinguished in provided ashtrays and disposed of in external bins.10.4. Smoking is not permitted on the event centre patio or the grounds due to fire risks and wildlife protection.11. Alcohol Policy
11.1. Hay’s Wood Retreat does not have a licensed bar.11.2. Alcohol brought to the site must only be consumed within lodges or on lodge patios.11.3. Alcohol consumption is not permitted in the grounds or event centre.12. Dog Policy
12.1. A maximum of two dogs are allowed in pet-friendly lodges.12.2. No dogs are allowed in non-pet-friendly lodges or the event centre (except assistance dogs).12.3. Dangerous dog breeds are not permitted.12.4. Dogs must be on a lead at all times outside the lodge.12.5. Owners must clean up after their dogs and dispose of waste in designated bins.12.6. Dogs must not be left unattended in lodges and are not permitted on furniture or beds.12.7. Persistent barking or aggressive behaviour may result in the guest being asked to leave.13. Termination Policy
Hay’s Wood Retreat reserves the right to terminate a booking without refund if:13.1. More guests stay than agreed.13.2. Excessive noise is made between 23:00 and 08:00.13.3. A lodge is sublet.13.4. Pets are found in a non-pet-friendly lodge.13.5. Guests engage in aggressive or abusive behaviour.13.6. Illegal substances are used or excessive alcohol consumption occurs.13.7. Open flames (excluding cigarettes) or explosives (e.g., fireworks) are used.13.8. Guest safety is compromised, or the lodge is at risk. Staff reserve the right to access the lodge if necessary.14. Housekeeping Policy
14.1. No daily room cleaning is provided.14.2. Fresh towels or linen are available upon request (charges may apply).15. Cashless Payment Policy
15.1. Hay’s Wood Retreat operates as a cashless site.15.2. Accepted payment methods:- Debit/Credit cards (Visa, Mastercard, etc.)

- Mobile wallets (Apple Pay, Google Pay, etc.)15.3. The vending machine accepts coins.15.4. Guests must ensure they have valid payment methods before arrival.
16. Guest Safety Policy
16.1. Employee discretion ensures guest privacy and security.16.2. No guest identity, lodge number, or presence will be disclosed without legal requirement.16.3. CCTV is in operation across the site.17. Gym Use Policy
17.1. The gym is used at the guest’s own risk.17.2. A gym disclaimer must be signed before first use.17.3. Minimum age for gym use is 16.18. Parking Policy
18.1. One vehicle is permitted next to each lodge.18.2. Additional vehicles must use the main car park.18.3. Parking on grass areas is strictly prohibited.18.4. Vehicles are left at the owner’s risk.- Free cancellation up to 4 weeks before the arrival date.
- Cancellations between 2 and 4 weeks before arrival will incur a 50% charge of the total lodge cost.
- Cancellations made from 2 weeks before arrival up to the arrival date will be charged 100% of the total lodge cost.
- Events may hire out individual rooms on an hourly basis or hire the entire Events Centre.
- All events must share the site with public guests unless exclusive use is booked.
- Events must be booked for a minimum of 2 nights, except for weddings, which may be booked for 1 night.
- Hay’s Wood Retreat does not hold a day licence and cannot accept day guests. All attendees must stay overnight.
- The Events Centre closes at 11:00 PM due to licensing restrictions and cannot be open past this time under any circumstances.
- Events operating under Shared Use conditions must ensure that their guests do not disrupt public guests.
- If disruption occurs, and Hay’s Wood Retreat is required to issue refunds to public guests, the Event Organiser will be liable for covering these costs.
- Requires a minimum booking of 18 lodges.
- Events Centre hire: £1000 per night.
