Guest room charges are subject to 9% State of Maine Sales Tax or applicable tax at the time of stay. Guests must be 21 years of age or older to check-in. All guests, both adults (18 years of age or more) and children (under 18 years of age), must be registered at the time of booking. Additional guests not a part of the reservation are subject to additional guest fees up to $250 per guest.
Digital Keys: only registered guests will receive a digital key by FLEXIPASS on arrival. Guests must download the FLEXIPASS Keyless Mobile Access application to their mobile devices. The digital key will provide access to the assigned building and assigned Urban Home.
Credit Card Authorization: upon arrival, your credit card will be authorized for the appropriate amount for your stay, incidental costs, and a security hold of no less than $100. Your bank will place a hold on your account, and you will not have access to these funds for other purchases. Any unused amounts will be released by the hotel within 5 business days of your departure. Any funds held by your bank shall be released in accordance with your bank's policies and may take up to 14 business days.
Damages: if there is damage to your Urban Home upon the departure inspection, the hotel management will contact you to determine a resolution. It is in your best interest to contact the hotel management should you find damage upon arrival or during your stay.
Non-Smoking Property: The Docent’s Collection is a non-smoking property. No smoking or open flames are allowed inside your Urban Home or at any location on the property. This includes, but is not limited to, cannabis, vaping, incense, candles, or tobacco. A fee of no less than $750 plus the costs to relocate arriving guests will be assessed.
Cancellations due to Unforeseen Circumstances If a significant unforeseen circumstance (such as, but not limited to, serious illness requiring hospitalization, government travel restrictions, or flight cancellations) makes it impossible or illegal for you and all guests within your reservation to travel to the City of Portland, The Docent’s Collection may elect to provide a credit for a future stay. Documentation may be requested from the property management team. COVID-19 is no longer considered as a significant unforeseen circumstance. Should you and all guests in your reservation contract a minor illness (such as COVID-19 or the flu), The Docent’s Collection may provide a credit for a future stay. Documentation may be requested from the property management team.
Excess Cleaning Fees, we kindly ask guests to refrain from using confetti, glitter, or flower petals, as decorative items within your Urban Home. Please leave your Urban Home in a tidy manner. The Docent’s Collection will bill guests for excessive cleaning.
Pet Policy, pets are not allowed on the property. Guests violating this pet policy will be charged a fee of no less than $500 and will have any future stays revoked. Extra Guest Fees, all overnight guests must be registered to the individual's reservation. Accommodations are prepared based on the number of guests staying within the space; therefore, failing to register guests will result in an underwhelming level of service. Additional fees apply for additional guests.
Maximum Capacity, guests exceeding the capacity of their Urban Home will be removed from the property without refund for any portion of their stay. Should this occurrence negatively impact another guest, the primary guest will be billed for any refunds or service recovery provided to other guests.
Deliveries and packages, you are welcome to have packages delivered to your building anytime during your visit. Packages delivered before your arrival or after you depart will be held for up to three days.
Housekeeping Services:
Weekly Cleaning: on the 7th night of your stay (or at a designated time), all linens will be replaced, and your Urban Home will receive a complete cleaning by one of our professional team members. Weekly cleaning is complimentary for guests staying 7 or more nights.
Cleaning Services for Stays of Less than 7 Nights: guests may request a light cleaning of their Urban Home by one of our professional team members at no cost. This includes refuse removal, wipe-downs of surfaces, and a refresh of bathroom amenities or towels. For more in-depth cleaning, including bed making and linen changes, cleaning fees will apply based on the following schedule per cleaning request:
1-Bedroom spaces: $100
2-Bedroom spaces: $200
3-Bedroom spaces: $300
We kindly ask you to use the in-room cleaning supplies and dishwashers to keep your kitchen clean during your stay.
Before booking your stay, please be aware that construction is underway at a nearby building through the end of June 2024. Work is occurring Monday - Friday only. While this work will not affect your Urban Home space directly, we are unable to offer on-property parking before July 1, 2024.
