Property and Cancelation Policies :

Standard Cancellation Policy
:

A deposit equivalent to 50% of the total reservation cost is mandatory for bookings of two nights or more. For one-night reservations, the full amount is payable upfront and is non-refundable from Memorial Day through fall. The remaining balance for stays of two or more nights will be charged within 48 hours prior to arrival. No refunds will be issued for early departures and no shows.

In order to receive a refund of your deposit, minus a $100 handling fee per room, we require a cancellation notice at least 14 days prior to arrival. For cancellations made within 14 days of arrival, the 50% deposit will be forfeited. One-night reservations will forfeit the entire amount charged. Should a guest have paid in full rather than the 50% deposit, the full amount will be forfeited within the 14-day cancellation period. Cancellations made within 48 hours of arrival will result in a forfeiture of the full reservation amount.

Please note, once a reservation is transferred or modified, it becomes non-refundable.  A fee of $50 per standard room or $100 per suite plus taxes applies for transfers or changes of date within 14 days of check-in. Any transferred or changed reservations must be confirmed by both written and verbal consent from the original booker. Once a reservation is transferred or changed, it becomes non-refundable. Changes or transfers are not permitted within 48 hours of check-in. All rates are based on double occupancy, with an additional charge of $30 (low season) or $40 (high season and OTA bookings) per extra person per night, where applicable.

OTA Cancellation Policy:
Reservations made via Online Travel Agencies (OTAs) will be charged 50% of the total price if cancelled after booking, and the entire cost if cancelled within 14 days of arrival. The remaining balance will be charged in the 14 days prior to arrival. If the rate plan selected on the OTA was a non-refundable rate, the full amount will be forfeited upon cancellation, regardless of when the cancellation occurs.

Any reservations affected by force majeure circumstances will be granted hotel credit for the respective stay, with supporting documentation required. A fee of $50 per standard room or $100 per suite plus taxes applies for transfers or changes of date within 14 days of check-in. Any transferred or changed reservations must be confirmed by both written and verbal consent from the original booker. Once a reservation is transferred or changed, it becomes non-refundable. Transfers and changes of date are not permitted within 48 hours of check-in.

Non-Refundable Rate Policy:
Bookings made under our non-refundable rate are not eligible for a refund or credit under any circumstances, including force majeure. Full payment is required at the time of booking. This rate cannot be combined with any other discounts or promotions, and is only valid for direct bookings with Ocean View Terrace Inn, not OTAs. The maximum stay length under this rate is 7 nights.

COVID-19/Force Majeure Notice:
Effective June 1, 2020, our standard cancellation policy applies, irrespective of COVID-19. We encourage you to opt for a flexible booking option should your travel plans be prone to change. For reservations made on or after June 1, 2020, please consider the risks associated with COVID-19 and related government measures. If you opt for a non-flexible rate, you may not be entitled to a refund. Cancellation requests will be handled based on your chosen policy and applicable consumer law. We recommend choosing a booking option with cancellation flexibility during times of uncertainty.

Parking, Pets & Certified Service Animals, Room Access Information, Disabilities & Accessibility & Special Needs, Fines, Security

  1. Designated parking is available for each room in the front-facing parking lot. The Social Den should remain unblocked at all times. Each reservation is allotted 1 parking space as part of the room’s Service Fee. Additional spaces subject to availability at a nightly rate of $25 with request made in advance before arrival. Our Two Bedroom Suite is allotted 2 spaces.
  2. Pets, including emotional support animals, are not permitted. Certified ADA service animals are an exception. Guests within ADA compliant service animals will be required to answer 2 questions for documentation and safety planning in the event of an emergency: 1. Is the animal required because of a disability? 2. What work or task has the animal been trained to perform?  Violation of this rule may lead to the refusal of a reservation at the guest's expense or imposition of a $200/night fine.
  3. Accessible parking is located in front of the office.
  4. Reservation bookers must be 21 or older. Anyone under 21 must be accompanied by an adult.
  5. Room assignments are subject to change without notice before arrival.
  6. Guests with disabilities, special needs or personal concerns should inform us at Hello@OVTInn.com prior to check-in so we can prioritize your accommodation preferences. We cannot guarantee particular accommodations to guests who don't inform us in advance.
  7. Our office hours are 8AM to 9PM from Memorial Day Weekend through Labor Day Weekend; the office closes at 8PM all other times. Late arrivals requiring assistance must be arranged at least 2 hours before your expected arrival. Check out is from 10AM. Please inquire for late check-outs. 
  8. Damages to rooms may result in fines. Smoking in a guest room will incur a $500 fine due to the cost of odor removal. A $250 damage deposit is required for all rooms. Littering on the property will result in a $100 fine. Setting off the fire alarm carries a $1000 fine paid to Southampton Fire Department.
  9. Non-returned Southampton Beach Passes and towels will be charged at $450 and $25 respectively. Beach passes are for registered guests ONLY.
  10. For everyone's safety, we have security cameras on the property exterior and all common areas. Voice and sound also recorded.
  11. Footwear is highly suggested to wear around property, along with water shoes on the bay beach.
  12. Guests are responsible for their own safety. The property is not liable for any accidents, injuries or illness that may occur while on the premises.
  13. Guests are expected to respect other guests as well as staff members and maintain a level of noise that is acceptable to all parties.
  14. Our Social Den is NOT allergen free and serves food items which may contain allergens including but not limited to peanuts, eggs, and dairy. Guests with food allergies should exercise caution and inform our staff of any specific dietary requirements or restrictions. It is the guests responsibility to read all food and drinks labels. All guests must be registered to receive breakfast.
Outdoor Seasonal Pool Use *** No lifeguard on duty. Swim at your own risk. ***
  1. The pool is for registered guests and their families. Children under 16 must be supervised by an adult. 
  2. Two or more adults must be present when the pool is in use.
  3. In an emergency, contact the facility operator/owner and seek help immediately. A free telephone is available in the office with posted numbers for emergency medical services.
  4. The pool is to be used only during posted hours.
  5. Alcohol and food are not permitted in the pool area.
  6. Pets, other than verified service animals, are not allowed in the pool area. Emotional support animals are not classified as service animals.
  7. The pool is closed after Labor Day and reopens at the end of May.
  8. We recommend wearing water shoes on the bay beach due to potential sharp shells and pebbles.
  9. The pool will be closed during periods of rain in accordance with local regulations.
Prices, Taxes, Discounts, Payments & Refunds, House Credits
  1. Rates are based on double occupancy. Extra guests will be charged $30 (low season) or $40 (high season and OTAs) per person, per night. Children under 13 are free, but a $5/night resort fee applies. June 2026 USGA Week is $50 for additional guests.
  2. Tax and service charge breakdown: 8.875% NY State Sales Tax, 5.5% Suffolk County Occupancy Tax, 12% Service Charge (Premium WIFI, Parking (additional vehicles are extra), Credit Card Fees, Housekeeping), Resort Fee $15 Adult/Child (Lounge, Continental Breakfast, Beach & Pool Access, Recreational Items) per person, per night.
  3. Ocean View Terrace Inn reserves the right to accept, decline or alter the use of discounts or promotional codes. 
  4. Credit card payments or refunds will reflect within seven to ten business days of authorization.
  5. The maximum stay is 28 nights.
  6. House Credits are issued at the discretion of Ocean View Terrace Inn & Suites and are subject to change without notice. Credits are valid for the same number of nights as the original booking and may only be used on equivalent days of the week. They must be used in full at the time of reservation and are non-transferable, non-refundable and hold no cash value. Credits must be used within the season given unless specified otherwise by the Inn.
Group, Multiroom & Travel Agency Reservation Policy
For all group and multiroom reservations made by a single party or through a travel agent, the booking party or travel agent is fully liable for the total cost of the reservation. The responsibility for dividing and collecting payments from individual guests within the group lies solely with the booking party or travel agent. Ocean View Terrace Inn will charge the total amount to the booking party or travel agent, and will not be responsible for managing or facilitating payment splits among guests.


Commissionable Reservations Policy

Ocean View Terrace Inn accepts commissionable reservations exclusively from our pre-approved, partnered Online Travel Agencies (OTAs). We do not accept or recognize commissionable reservations made outside of these established partnerships. Any exceptions to this policy require a pre-existing written agreement signed by authorized representatives of both parties prior to booking confirmation. Reservations booked without such an agreement will not be considered commissionable and Ocean View Terrace Inn will not be liable for any related commission fees. This policy ensures transparency in our booking process and fosters a fair business environment for all parties involved. By making a reservation, parties agree to these terms.

Lost and Found | Liability
Ocean View Terrace Inn maintains a lost and found for items left behind by guests. Items will be held for a maximum of 7 days from the date they are found. After this period, unclaimed items will be discarded or donated at the discretion of the inn.

Guests are responsible for contacting the inn within this timeframe to claim their lost items. Any claimed items can be shipped to the guest at their request and expense ($25 Handling Fee + Cost of Shipping). Ocean View Terrace Inn is not liable for the condition of any lost items, including any damage or deterioration that may occur while the items are in our possession or during shipment.

By staying at Ocean View Terrace Inn, guests acknowledge and agree that the inn is not responsible for the loss, theft, or damage of any personal property left on the premises, regardless of the item's value. This includes any items claimed and subsequently shipped to the guest. Guests assume all risk for their personal belongings during their stay.

By reserving a room at Ocean View Terrace Inn, you agree to opt into text, phone, and email communication regarding your reservation. This communication may include but is not limited to, confirmation of your reservation, changes or updates to your reservation, and requests for reviews or feedback after your stay. We respect your privacy and are committed to protecting it. We collect and use personal data only as it might be needed for us to deliver to you our services. Reservation Cancellation by the Inn
Ocean View Terrace Inn reserves the right to cancel any reservations due to unforeseen circumstances or events beyond our control. In the event of such a cancellation, the inn will notify the guest as promptly as possible and will offer a full refund of any payments made or the option to rebook at a future date, subject to availability.

Bitcoin Payments and Reservations
Guests who choose to pay for their stay at Ocean View Terrace Inn using Bitcoin (BTC) agree that all Bitcoin payments are 100% non-refundable and non-cancellable, in strict accordance with our Non-Refundable Cancellation Policy. To pay with Bitcoin, guests must contact our office at 631-728-4036 to make a reservation and receive payment instructions. A valid credit card must still be provided and kept on file for incidentals and any additional charges incurred during the stay. The credit card on file will be used to cover any costs not included in the initial Bitcoin payment, such as damages, additional services, or other incidental expenses. Reservations will only be confirmed once the Bitcoin payment has been successfully received and verified by our team, and guests will receive a confirmation email with the booking details once the payment is confirmed.   5. Consequences of Violation:
    • Violation of this policy may result in immediate removal from the premises and could involve legal consequences as per applicable laws. Additionally, if a paid guest is asked to leave due to inappropriate behavior, they will not be refunded for their stay or compensated in any way.

Payment Methods
  1. Accepted Payment Methods: To secure your reservation for the Shinnecock 2026 US Open, we only accept payments through Zelle, Bitcoin, or certified checks. This policy is in place to prevent illegitimate chargebacks commonly associated with credit card transactions. An on file credit card is still required for incidentals and damage deposit.
Depositand Payment Schedule
  1. Deposit Requirement: A 50% deposit is required at the time of booking.
  2. Final Payment: The remaining balance will be due and must be received by May 1, 2026.
Bookings After May 1, 2026Forreservations made after May 1, 2026, the full amount of the stay must be paid at the time of booking through one of the accepted payment methods.

Cancellation Policy
  1. Cancellations Before May 1, 2026:
    • If you cancel your reservation before May 1, 2026, you will receive a refund of your 50% deposit, minus a cancellation fee of 25% of the total reservation cost.
    • This means you will receive 50% of your original deposit back.
    • Refunds will be processed within 7-10 business days via the original payment method.
  2. Cancellations After May 1, 2026:
    • Any cancellations made after May 1, 2026, will forfeit the entire cost of the reservation.
    • No refunds or credits will be issued for cancellations made after this date.
Non-RefundableReservations
  • Final and Non-Refundable: As of May 1, 2026, all reservations for the month of June 2026 are considered full and final. No refunds, changes, or exceptions will be made under any circumstances.
  • No Exceptions: This policy is strict and applies to all reservations without exception, including but not limited to, personal emergencies, changes in travel plans, or any other unforeseen circumstances.
